Start with your operation
Match the system to your property model
Whether your property is in Lagos, Abuja, Port Harcourt or elsewhere in Nigeria, start with the workflows that cause delays or unexplained balances. Bring examples from your own operation instead of assuming that a city name determines your software requirements.
| Property model | Workflow to test | Acceptance evidence |
|---|---|---|
| Hotel | Reservation, room assignment, payment review, check-in, cleaning and departure. | Front desk and housekeeping can explain the same room status and outstanding guest balance. |
| Shortlet or serviced apartment | Unit availability, guest verification, arrival instructions and turnover between stays. | The next arrival is linked to a ready unit and an accountable turnover task. |
| Hotel with restaurant or bar | Order entry, kitchen handoff, settlement and stock consumption. | The team can trace an order through payment and explain associated stock movement. |
| Multiple properties | Property switching, staff membership and management reporting. | Managers see their authorised properties; unrelated staff cannot access their records. |
Staycore documents these property models separately. Confirm which workflows belong in your launch scope. For attached outlets, also review inventory and procurement controls.
Follow the money
Separate a recorded payment from a verified payment
If your property accepts cash, POS terminals, bank transfers and online checkout, ask the vendor to demonstrate each method separately. For a transfer, identify who confirms receipt and what evidence they retain. For cash, test the cashier handover. For terminal payments, check how the reference is matched to the guest balance and later settlement.
Staycore documents Paystack payment links and verification, payment policies, receipts and refund administration. Test a successful payment, a pending payment and a refund. Confirm which checks are automatic and which require staff action; entering a reference or presenting a screenshot should not silently satisfy your verification policy.
Use the payments and billing guide to frame the demo. Agree who may approve credit, override a payment requirement or authorise a refund.
Know what is connected
Verify distribution before relying on it
Get the exact supported channels and activation requirements in writing. Demonstrate room-type mapping, a rate change, an imported booking and a cancellation. Confirm where staff see failed synchronisation and who resolves it.
Staycore's distribution documentation covers availability and pricing sync, booking import and channel health. Channel messaging and reviews depend on enabled features. OTA contracts and payouts remain with the OTA. Stabilise direct inventory first, then verify each connection. The channel management checklist helps structure that review.
Assign responsibility
Test permissions with actual staff accounts
Use separate reception, housekeeping, finance and manager accounts. Check that each person can complete their job and that restricted actions fail: a cleaner should not need financial access to update room readiness. Review refunds, stock adjustments, payroll and room-access issuance individually.
Staycore combines roles, explicit permissions and property membership with plan and property setup. A role label alone does not establish access. Record who grants permissions and when access is removed for departing staff.
Plan for interruptions
Ask what works during an outage
Do not assume every screen works offline. Ask which actions remain available for your deployment, whether information may be stale, how unsent changes recover and what happens to payment verification and door access. Test interrupted connectivity on the devices staff will use.
Document the temporary arrival and payment procedure, the recovery owner and the support contact. Include power backup and an alternative connection in the property's operational plan. Ask for the applicable support hours and escalation process in the proposal.
A practical acceptance exercise
Run one booking through a complete shift
This is an illustrative test, not a customer result: a guest books two nights at ₦60,000 per night, with a ₦40,000 deposit and no additional charges. The expected balance is ₦80,000.
- Create the reservation and show how availability changes.
- Record the deposit through the agreed payment workflow. Show the evidence required before it becomes verified.
- Mark the assigned room as needing cleaning. Have housekeeping update readiness and reception check that status before arrival.
- Attempt a refund from an account without permission, then demonstrate the authorised review.
- Collect the remaining ₦80,000 and produce the receipt and balance record.
- Close the shift. Finance should reconcile the ₦120,000 total to the two payments and explain their verification states.
Write down any failed step, its owner and the evidence needed to accept a fix. Extend the exercise with an OTA cancellation or restaurant order only if it is part of your intended launch.
Prepare the first live shift
Give the rollout clear owners
- Before configuration: clean room or unit lists, rates, future bookings, opening balances and staff records. Assign an owner to each dataset.
- Before acceptance: test booking dates, fees, deposits, payment returns and confirmations using the rooms, rates and booking setup guide.
- Before launch: train every shift, agree the cutover time and reconcile imported balances. Record the fallback and escalation procedure.
- After launch: review unmatched payments, room-readiness delays and unresolved tasks with the responsible team. Compare against your own starting position.
Review current pricing alongside a written scope for onboarding, integrations, support and optional services. Use the arrival workflow and housekeeping guide to prepare department-specific questions.
Common questions
Do I need different software for each Nigerian city?
Choose around your property model, payment controls, staffing and integrations. A hotel in Lagos and one in Abuja may need the same core workflows; two properties in the same city may need different setups. Confirm implementation and support arrangements for your address during scoping.
Can Staycore manage a hotel with a restaurant or shortlet units?
Staycore documents hotel, shortlet and food-and-beverage workflows. Hotels use room and front-desk operations; shortlets emphasise units and turnover; restaurants use outlets, POS and kitchen workflows. Mixed operations need the appropriate plan, property configuration and staff permissions.
Will every OTA connection and door lock work immediately?
Confirm each integration before purchase. Channel connections need configuration and room mapping. Door access requires compatible supported hardware and property setup. Demonstrate the required workflows on your proposed configuration before accepting them for launch.
Where should I check the total price?
Use the current pricing page and request a written scope. Include the subscription, onboarding, optional services, payment processing and any hardware or installation. Multi-property and custom deployments need their own scope; avoid comparing vendors on subscription price alone.
